Cancellation & Refund Policy

1. Consultation Appointment Bookings

Appointments can be scheduled through our official website widget (powered by our appointment partner Docsarthi), via direct phone calls, or directly at our clinic reception in Patna.

• Online bookings may require confirmation via SMS/WhatsApp or advance consultation token payment depending on the chosen consultation mode.
• Patients are requested to arrive 10–15 minutes prior to their scheduled slot to complete baseline clinical vitals and paperwork.

2. Appointment Cancellation & Rescheduling

We understand that emergencies and unforeseen travel delays can occur, especially for patients traveling from outside Patna.

3. Refund Eligibility Criteria

A refund will be approved under the following conditions:

• Clinic-Initiated Cancellation: If Dr. Shrutika Bhagat is called into an emergency spine surgery or urgent hospital procedure and an alternative time cannot be accommodated to your satisfaction, a full 100% refund will be issued immediately.
• Duplicate / Erroneous Payments: If technical payment gateway issues result in double billing for a single booking slot, the excess charge will be refunded upon verification.
• Timely Advance Cancellation: Consultation requests cancelled with at least 4 hours prior written or phone notice.

4. Daycare & Interventional Procedure Deposits

For planned interventional procedures (e.g., Endoscopic Spine Surgery, Radiofrequency Ablation, Epidural Steroid Injections, BMAC Therapy):

• Advance OT reservation deposits may be required to reserve the operating suite, sterilization trays, and imaging machinery.
• If a procedure is medically deferred or cancelled by Dr. Shrutika following pre-procedure fitness evaluations, the advance OT deposit will be refunded in full or adjusted as mutually agreed.
• Patient-requested procedure cancellations made at least 24 hours prior to the scheduled operation date are eligible for full deposit refund minus any actual disposable medical consumable costs already incurred.

5. Non-Refundable Situations

Refunds cannot be claimed in the following instances:

• Completed Consultations: Once an in-person or teleconsultation clinical evaluation has taken place and medical advice/prescription has been rendered, consultation fees are non-refundable.
• No-Shows Without Prior Notice: Failure to attend a scheduled appointment without prior notification prevents other patients in severe pain from utilizing that slot and is ineligible for refund.
• Consumables & Medicines: Medication items, braces, or disposable supplies once dispensed or administered cannot be returned or refunded due to healthcare hygiene and drug safety regulations.

6. Refund Processing Timeline & Mode

Approved refunds will be processed back to the original method of payment (UPI, Credit/Debit Card, Net Banking) or via verified Bank NEFT/IMPS transfer within 5 to 7 business working days, subject to standard interbank settlement cycles.
